Key Responsibilities

Auction Planning & Scheduling

  1. Plan all NB dates for the year and communicate any changes.
  2. Confirm venue, auctioneer (Joff), Stream Team, and Efficiency availability.
  3. Send approved dates to Marketing for Flowpage updates.
  4. Send approved dates to Ali/Basecloud for website updates.
  5. Create yearly date image covers using Chant Lab.
  6. Create Stock Pick calendar invites.

Finance & Documentation

  1. Create and maintain the Excel Finance Tracker/Workflow.
  2. Create and update the Auctioneer Briefing tab.
  3. Update office board workflow.
  4. Draft mandates and verify using B2B Hint.
  5. Obtain counter-signatures on mandates from Wes and collect KYC/FICA documentation.
  6. Create meeting requests with mandate expiry dates and add to Dashboard.
  7. Request Marketing invoices from Finance.
  8. Send seller-signed mandate, completed COS, and Marketing invoice with deadlines to relevant parties (copying Wes).
  9. Create registration invoices for sellers and confirm proof of banking details.
  10. Notify brokers of payments and update WIP and Briefing Docs.
  11. Invoice deposits and commission documentation.
  12. Scan and send signed COS to sellers.
  13. Prepare refunds and coordinate with Finance on disbursements.

Marketing & Listings

  1. Collect and save drone pictures.

  4. Finalise brochures from BOV, save, and distribute to groups.
  5. Create and post listings on P24, Website, and Chant Lab.

Auction Day Preparation & Management

  1. Add office countdown canvas 10 days before auction.
  2. Pack and tick off inventory list for the black box.
  3. Prepare Auction Invoice schedule.
  4. Prepare Vendor Roll business cards.
  5. Pack all registration and COS folders.
  6. Set up documentation on the registration table.
  7. Manage the screen clicker and ensure functionality during auction.
  8. Coordinate and manage mock auctions.
  9. Prepare for and manage pre- and post-auction briefings with brokers.

Post-Auction Administration

  1. Send immediate feedback to the team after auctions and after the confirmation period.
  2. Follow up with conveyancers on guarantees.
  3. Update auction statistics (dashboard) consistently and timeously.
  4. Coordinate with Marketing/Finance for refunds and budget reconciliations.
  5. Ensure proper redirection of trackable numbers if a team member leaves the company.

General Administration

  1. Request council plans where required.

Description:

The Role:

You’ll manage a high-value transaction pipeline across office, industrial, and special-use properties – from new leases to subletting, relocations, renewals, and regears.
